4 tips for writing a successful data entry resume

Data entry jobs are typically easy to qualify for. Basic computer skills are often the only requirement because you’ll mostly be transferring data from paper or other digital sources into databases.

However, it’s still important to submit a strong clerical resume that clearly highlights your reliability and attention to detail.

Here are a few pointers for writing a resume that gets noticed:

1. Add skills and keywords from the job description

Your skills section needs to include a range of hard skills if you’re to impress hiring managers.

The following are common technical skills necessary for data entry jobs:

  • Microsoft Excel
  • Google Sheets
  • Microsoft Access
  • Apple Numbers
  • Data entry
  • Typing proficiency
  • Transcription skills

You should also scan the job ad for important keywords to include on your resume. If the job ad mentions a particular piece of data entry software, be sure to mention it in your skills section and elaborate on what you accomplished with it in your work experience section, like this:

  • Generated and formatted reports using Microsoft Excel and other data processing tools

Here are some of the top keywords we pulled from real data entry job listings:

2. Add hard numbers to your bullet points

All businesses want to know what you can do for them, and the best way to show them what you can do is by adding hard numbers to your resume.

Mention some of your data entry accomplishments on your resume, along with numbers to provide context to hiring managers. Here are three ways to add numbers to your experience bullet points:

1. Identify any time you saved a company money through your data entry processes. For example:

  • Improved and consolidated spreadsheets, increasing efficiency and saving the company $22,000 annually in labor costs

2. Mention if you oversee junior clerks. For instance:

  • Oversee 2 junior clerks’ daily input to ensure accuracy, maintaining a 99% error-free record

3. Give a sense of scale to the amount of data you manage. For example:

  • Maintain records for 1000+ patients

3. Write a resume objective that highlights your efficiency

The beginning of your data operator resume should begin in a way that captures the hiring manager’s attention and gets them to keep reading.

A resume objective is the best way to begin a resume for a data entry role because it focuses on your career goals. An objective is a 3–4 sentence paragraph that outlines your key skills, experience, and career goals for the hiring manager.

Here’s an example:

Information Processor with 2 years of experience in a high-pressure and fast paced professional environment. Skilled at staying focused under pressure and maintaining consistent workflows. Aiming to contribute to efficient internal operations through reliable data handling.

4. Describe your experience using action verbs

When listing your work experience, start each bullet point with a strong action verb to clearly show what you accomplished in the role. Action verbs make your resume more engaging and help hiring managers quickly understand the impact you made.

Instead of writing “Responsible for entering data,” try something more direct like “Entered and updated records with 99% accuracy.” This small shift in wording highlights your contributions and reads as more confident and results-oriented.

Here are more effective action verbs to use in your resume:
